(“Urban Space Self Storage”, “Urban Space”, “we”, “us”, “our”), established in Singapore and governed by the Personal Data Protection Act 2012 (PDPA) and its subsidiary legislation, including the Personal Data Protection (Notification of Data Breaches) Regulations 2021. It explains how we collect, use, disclose, and protect personal data obtained through our website (https://www.urbanspace.com.sg), our facility at 3 Depot Close, Singapore 109840, our WhatsApp Business channel, and during interactions with our self-storage, workspace, fulfilment, and valet storage services.

Where we rely on your consent for a purpose (for example, marketing messages), we obtain that consent specifically for that purpose rather than treating mere use of our website as consent to everything in this policy. Section 3 (Consent) explains this in more detail.

1. Collection of Personal Data

Urban Space collects personal data from customers, business contacts, partners, and contractors to facilitate legitimate business purposes. Personal data may be obtained through:

  • Online forms (website enquiries, quotation requests, the space calculator)
  • Service contracts, tenancy agreements, and the valet storage service agreement (including collection/return addresses and access instructions)
  • Communication via email, phone, WhatsApp Business, or in person
  • Cookies and analytics tools on our website (see Section 9)
  • CCTV and access-control systems at our facility, where signage is displayed on-site

Examples of personal data collected include your name, contact details, billing and payment information, unit access details, collection/delivery addresses (for valet storage), CCTV footage where you visit our premises, and any other data you voluntarily provide to us.

2. Use of Personal Data

We use your personal data for purposes including:

  • Performing contractual obligations, such as providing storage, workspace, fulfilment, and valet collection/return services
  • Managing and improving customer relationships
  • Processing transactions, payments, invoicing, and service renewals
  • Sending service updates, promotions, and offers, where you have given consent (see Section 3)
  • Facility security and safety, including CCTV monitoring
  • Complying with legal and regulatory obligations

Your data will be used only for purposes for which you have been notified, or as otherwise permitted or required under the PDPA.

3. Consent

Where consent is the basis for our collection, use, or disclosure of your personal data, we seek that consent specifically for the relevant purpose at or before the point of collection — for example, via an opt-in checkbox on a form, an explicit reply to a WhatsApp prompt, or a signed clause in a service agreement. We do not treat general browsing of our website, by itself, as consent to marketing communications or to purposes beyond what is reasonably necessary to respond to your enquiry.

In limited circumstances, the PDPA permits us to rely on deemed consent (for example, where you voluntarily provide data for a purpose and it is reasonable that you would do so) or on exceptions to consent set out in the Act (such as purposes necessary for a contract with you, or compliance with law). Where we rely on these bases instead of express consent, we will identify the applicable basis on request.

You may withdraw consent at any time — see Section 6 (Withdrawal of Consent).

4. Do Not Call (DNC) Registry

If we contact you by voice call, text message (SMS), or fax to a Singapore telephone number for marketing purposes, we will check that number against the National Do Not Call (DNC) Registry before doing so, unless you have given us clear and unambiguous consent in evidenced, written form to receive such marketing messages (which satisfies the exemption to the DNC check under the PDPA).

You may withdraw consent to marketing calls/messages, or ask to be added to our internal do-not-contact list, at any time via the contact details in Section 8. This is separate from, and in addition to, your right to withdraw general consent under Section 6.

5. Disclosure of Personal Data to Third Parties

Urban Space does not sell or rent your personal data. We may disclose data to third parties such as service providers, payment processors, IT and platform vendors, delivery/valet partners, agents, or regulators, but only where necessary for business operations, legal compliance, or where you have given consent. Third parties who process personal data on our behalf are contractually bound to protect that data, use it only for the authorised purpose, and not retain it longer than necessary.

6. Overseas Transfer of Personal Data

Some of our service providers may store or process personal data on servers located outside Singapore. Before transferring personal data overseas, we take steps required under the PDPA to ensure the recipient is bound by legally enforceable obligations to provide a standard of protection comparable to the PDPA — for example, through data protection clauses in our vendor contracts, or by confirming the recipient is subject to a comparable data protection law.

7. Access to, Correction, and Accuracy of Personal Data

Access and Correction

You have the right to request access to, or correction of, your personal data held by Urban Space. Requests can be submitted in writing to our Data Protection Officer using the contact details in Section 8.

We will respond to your request within 30 calendar days of receipt. If we are unable to meet this timeframe, we will inform you in writing of the expected response time. We may charge a reasonable fee to recover costs of processing an access request, and will inform you of any fee before processing the request.

Accuracy

We take reasonable steps to ensure that personal data we collect is accurate and complete, particularly where that data is likely to be used to make a decision affecting you or is disclosed to another organisation. You can help us keep your data accurate by informing us promptly of any changes to your contact or billing details.

9. Withdrawal of Consent

You may withdraw your consent for Urban Space to collect, use, or disclose your personal data at any time by submitting a written request to our DPO (Section 8). We will process withdrawal requests within a reasonable time and inform you of the consequences of withdrawal, if any. Please note that withdrawing consent may affect our ability to provide certain services to you — for example, we may be unable to process a booking or valet collection without necessary contact and address details.

10. Security and Protection of Personal Data

Urban Space implements appropriate administrative, physical, and technical safeguards to protect your data from unauthorised access, collection, use, disclosure, copying, modification, or disposal. These include secure data storage, restricted access controls, and encryption where applicable. We regularly review and update our security measures to ensure continued compliance with the PDPA.

11. Data Breach Notification

In the event of a data breach involving your personal data, we will assess the breach in accordance with Part VIA of the PDPA. Where the breach is assessed to be notifiable — because it is likely to result in significant harm to affected individuals, or affects 500 or more individuals — we will notify the Personal Data Protection Commission (PDPC) as soon as practicable, and in any case no later than 3 calendar days from completing our assessment, and will notify affected individuals where required.

12. Retention of Personal Data

Personal data is retained only for as long as necessary for the purposes stated in this policy, or as required under applicable law (for example, accounting and tax record-keeping requirements). When personal data is no longer needed for any business or legal purpose, we will securely delete, anonymise, or destroy it in accordance with our internal data retention schedule.

Our website uses cookies and analytics tools to enhance user experience and improve functionality. Cookies may collect information such as browsing behaviour, preferences, and session data. You may disable cookies via your browser settings; however, this may impact certain website features.

14. Complaint Procedure

Urban Space may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal obligations. Updates will be published on this page with the revision date clearly stated. We encourage you to review this page periodically.
